It covers both the business owners who use AffiliateHQ to run their programs and the affiliates whose information flows through the platform.

AffiliateHQ serves two kinds of people, and this policy covers both:

• Business owners and their team members who subscribe to AffiliateHQ and use it to run affiliate programs.
• Affiliates who join a program run on AffiliateHQ. When you are an affiliate, the business owner whose program you joined decides how your information is used within their program. We process your information on their behalf, and this policy explains what we do.

2. Information we collect

Information you give us

• Account information: name, email address, password, and business details when you create an account.
• Affiliate application information: when someone applies to a program, that can include name, email, website, social media handles, payment details, and tax documents (such as a W9 or W8-BEN).
• Payment information: billing details for your subscription, and payout details for affiliates. Card and bank details are handled by our payment processors, not stored by us directly.
• Communications: messages you send us through the contact form, email, or text.
• Content you create: program settings, commission structures, email copy, creative assets, and other content you add to the platform.

Information collected automatically

• Tracking data: when a visitor clicks an affiliate link or completes a tracked action, the platform records data such as the affiliate involved, timestamps, referring URLs, device and browser information, and a stored or hashed IP address, so that clicks, leads, and sales can be attributed correctly.
• Usage data: how you interact with the platform and the site, for security, troubleshooting, and improvement.

3. How we use information

We use information to:

• Provide and operate AffiliateHQ, including tracking, commission calculation, payouts, and reporting.
• Set up and manage your account and subscription, and process payments.
• Send you transactional messages such as approvals, commission notices, payout notifications, and password resets.
• Respond to your questions and provide support.
• Detect, investigate, and prevent fraud and abuse.
• Improve and secure the product.
• Comply with legal obligations, including tax and recordkeeping requirements.

4. Tracking, cookies, and how the platform works

AffiliateHQ uses cookies, browser local storage, and similar technologies to make affiliate tracking work. When someone visits a site running AffiliateHQ tracking, a small identifier may be stored so that a later sale or lead can be credited to the right affiliate. We rely on a small set of trusted providers to deliver the service. Each receives only the information needed to do its job.

7. A note for affiliates

If you are an affiliate in a program running on AffiliateHQ, the business owner who runs that program decides how your information is used within it, and they are responsible for their own privacy practices. We process your information to make the program work: tracking your referrals, calculating your commissions, storing your payout and tax details securely, and helping the business owner communicate with you.

8. How long we keep information

We keep personal information for as long as it is needed to provide the service and for legitimate business and legal purposes, such as tax, accounting, and recordkeeping requirements. When information is no longer needed, we take steps to delete it or de-identify it. Tracking data may be retained for as long as it is relevant to commission attribution and reporting.

9. How we protect information

We use reasonable technical and organizational measures to protect information, including encryption of sensitive data such as tax documents, secure password storage, two-factor authentication for business owner accounts, access controls that keep each program's data separate, and signed links for sensitive files. No system is perfectly secure, but we work to protect your information and to respond promptly if a problem arises.

10. Your privacy rights

Depending on where you live, you may have rights to access, correct, delete, or limit the use of your personal information, or to receive a copy of it. If you are an affiliate, we may need to coordinate with the business owner who runs your program to honor your request.

You can unsubscribe from non-essential program emails using the unsubscribe link in those messages. Transactional messages, such as payout and account notices, are part of operating the service.

11. Children

AffiliateHQ is not intended for anyone under 18, and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will take appropriate steps.

12. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "last updated" date above and, where appropriate, provide additional notice. Your continued use of AffiliateHQ after changes take effect means you accept the updated policy.
